What a skeptical company actually wants to know

If you’re a controller or an operator at a real company, you don’t need another “AI transformation.” You need WIP that isn’t a two-week archaeology project. You need AP that isn’t a pile of checks. You need the field system and the books to say the same number.

That’s the work. I do it as the person who has run the books and built the software — not as an agency that discovers your process for six months.

The office — controller, PMs, AP, estimating, procurement — was running the company through three systems that didn’t agree. Earned revenue and WIP were a grind. Procurement lived in a $20k/year tool. Getting Procore into QuickBooks was another $5k/year. Contract review was $500 a trip to counsel. AP was checks. Close took about 15 days.

What I built

Connected ERP, project management, and AP. A system scoped to each seat so people could produce the documents they already need, and write back into those platforms instead of re-keying. About 50 branded, fillable forms. Weekly group training and one-on-one. Skills for each role — including contract review, addenda, and negotiation. Moved AP off checks onto Ramp so the close wasn’t waiting on a check run.

What we can count

  • Close: about 15 days to 3.
  • Dropped the $20k/year procurement tool.
  • Dropped the $5k/year Procore → QuickBooks connector.
  • About 10 contract reviews in the first month, done in-house instead of at $500 each.
  • Procurement manager left. We did not replace the seat. The assistant PM runs it.
  • 24 hours saved in 30 days on one AI dashboard, 5 users. That’s the floor. Reused documents aren’t in that number.

The pattern isn’t a trade. It’s finance and operations stuck in tools that don’t talk, paying rent on software designed to be a maze.
